AssentCam privacy policy

The short version

AssentCam keeps everything on your iPhone. It has no accounts, no analytics, no advertising and no tracking, and it never sends anything to its developer or to anyone else. Information leaves your iPhone only when you choose to share or export it.

Who is responsible for what

AssentCam is a tool. The organisation or photographer using it decides why and how people are photographed, and is responsible for the consent records it creates, as the data controller under data protection law such as the UK GDPR.

AssentCam's developer never receives the photos, videos, consent records or any other information you create in the app, so it can't see, use, sell or share them.

What AssentCam stores on your iPhone

Your set-up: organisation name, logo, contact for withdrawals, photographer's name, form wording, purposes and preferences.

Consent records for each person who signs: their name, email address (if you ask for it), signature, whether they're under 18 and their parent or guardian's name, the purposes they agreed to, when they signed, where they signed (only if Location is on), the photos linked to the record and any withdrawal.

Consent records, signatures and PDFs are saved with iOS's strongest file protection, so they're encrypted whenever your iPhone is locked.

Photos and videos

Photos and videos are saved to your Photos library. Each one carries its consent ID, the purposes it's cleared for and a fingerprint of the signed form in its metadata. People's names are only written into photos if you turn that on, and the location only if Location is on.

AssentCam asks only to add to your library. It can't see the rest of your photos.

Permissions

Camera: to take photos and videos.

Microphone: to record sound with videos. Asked only when you first switch to video.

Location (while using the app): to add where a photo was taken and where a form was signed. You can turn it off in AssentCam's Settings at any time.

Photos (add only): to save what you take.

You can change any of these in iPhone Settings › Apps › AssentCam.

Sharing

Nothing is shared automatically. A PDF, the consent register (CSV) or a photo leaves your iPhone only when you share or export it yourself, for example through the share sheet, AirDrop, the Files app or iCloud Photos if you use it. Once shared, it's handled by whoever you send it to and under the terms of the service you use.

Children

If the person being photographed is under 18, AssentCam asks for their parent or guardian's name as part of the form. Organisations photographing children should follow their own safeguarding policies.

AssentCam isn't directed at children as users.

Keeping and deleting information

You decide how long records are kept. The form tells each person the retention period you set.

You can delete any consent record in the app (Settings › Consent records). This removes its PDF and signature from AssentCam. Deleting AssentCam removes everything it stored, but not photos and videos already saved to your Photos library or files you've shared.

If someone withdraws consent, record it on their form. AssentCam keeps the form as evidence, marks it withdrawn and lists the linked photos so you can stop using them.

People who were photographed

To see, correct or delete your consent record, or to withdraw consent, contact the organisation that photographed you, using the contact details on your copy of the form. AssentCam's developer holds no information about you.

Changes and contact

If this policy changes, the new version will appear in the app with a new date.
